Find Direct Referral in ECW as an Enrollment Specialist

A. Login to NetExtender VPN

1. Go to Desktop and click NetExtender VPN App

2. Click Connect

  1. Click App (if needed)
  2. Go to your phone's Authenticator App and note the authenticator pin that appears
  3. In NetExtender VPN App, go to passcode and enter pin
  4. Click Continue

7. Verify NetExtender VPN says "Connected"

B. Login to The Maxwell Group ECW

  1. Click VH Client Details
  2. In VH Client Details, click EHR tab

3. Go to eClinicalWorks row and copy vitelcoach1 (highlight ctrl C)

4. Go to Desktop and click VitelHealth RDP app

  1. Click eClinical Works
  1. Go to username and paste username (press ctrl V)
  2. Click Next
  1. Go to VH Client Details and copy password in black box (select and press ctrl C)
  1. Go to VitelHealth RDP app and paste password (press ctrl V)
  2. Click Log In
  1. Optional: Go to VH Client Details and click X to close file

C. Check for Doctors' Messages

  1. Check yellow circle next to T for new telephone/web encounters. If number is greater than 0, click number. If number is 0, there are no messages and you can skip to steps to log out.

2. Click patient name

3. Review message

4. Note patient's name

D. Create Patient in Zoho

a) Find Patient Information in ECW

  1. Click on INFO and copy (using highlight, then CTRL c) the following information for Zoho patient chart:
    1. Patient's Name
    2. Address
    3. Telephone Number(s)
    4. Email Address
    5. Date of Birth
    6. Sex
    7. Insurance (Ensure that Insurance is Active. Inactive insurance have an X beside them.)
      1. Double click on insurance for more details and to copy the information

b) Find Patient Diagnosis

  1. In Patient Information, click X
  1. Click Overview
  2. Go to Problem List and click +
  3. Search for chronic conditions, copying information for Zoho by highlighting the problem and pressing ctrl C
  4. Repeat until there are at least 2 chronic conditions noted

E. Respond to Doctor

a. Respond to the Original Message (preferred method)

b. Create a New Message (if preferred method is not an option)

a. Respond to Original Message

  1. Click yellow circle next to T for telephone/web encounters

2. Click patient name for the message you want to respond to

  1. Go to Reason and enter RPM/CCM
  2. Go to Assign to, delete Vitel Health and enter Doctor's Name
  1. Go to EHR Client Templates
  2. Find client associated with the communication template.
  3. Click New Referral communication template that applies and copy (ctrl C).
  1. Go to ECW
  2. Click Time Stamp
  3. Go to Action Taken and paste message.
  4. Add your First and Last Initials. Edit the message if needed.
  5. Click Save
  1. Go back to Check for Doctor's Messages for any remainder messages and follow all steps again for new patient referral.
  2. Go to Log Out Steps

b. Create a New Message

1. From Patient Hub, click New Tel Enc

  1. Go to EHR Client Templates
  2. Find client associated with the communication template
  3. Click New Referral communication template that applies and copy (ctrl C)
  1. Go to ECW
  2. Go to Reason and enter RPM/CCM
  3. Go to Assigned To and enter Doctor's name
  4. Go to Provider and enter Doctor's name
  5. Go to Message and paste message
  6. Enter initials
  7. Click Save
  1. Go back to Check for Doctor's Messages for any remainder messages and follow all steps again for new patient referral.
  2. Go to Log Out Steps

F. Log Out

  1. Hover mouse over 1W
  2. Click Log out

 

3. Click x

4. Click OK
