Text in RingCentral As Enrollment Specialist

This article explains how to text and create a text template.

NOTE: This article assumes Enrollment Specialist uses RingCentral web version. Desktop RingCentral may appear differently.

A. Login to Ring Central

  1. Go to Ring Central
  2. Click Sign in

3. Click Google

4. Click your account

  1. Click Text
  1. Click New Text icon
  1. Go to To and type any name or phone number
  1. Click Use Template Icon

5. Click +

i. Template for Confirming Appointments

Create text template to confirm welcome appointments with new patients, and include name of health coach and their phone number.

  1. Go to Health Team Info Shared
  2. Under Health Coaches, copy Health Coach Name (highlight and ctrl C)
  1. Go to Template Name and paste Health Coach Name (ctrl V) and type Appt Confirmation
  1. Copy the text below (highlight and ctrl C)

Hi [Patient Name], this is a ViTel Health confirmation about your Welcome Call with your health coach, [Health Coach Name]. She’ll be calling you on [Appt Date/Time] to learn about your goals and help you get started.

If you need to reach her directly, you can call or text her at [Health Coach Phone Number].

Please let us know if you have any questions. We look forward to supporting you on your health journey.

  1. Go to Template Text, right click and paste

6. In Template content, Update Health Coach text to Name of Health Coach

7. Go back to Health Team Info Shared, and copy Vitel Phone # of Health Coach (highlight and ctrl C)

  1. Go to RingCentral and paste Health Coach's Vitel Phone # in Template content
  2. Click Save

10. Repeat steps 1-9 for every Health Coach

ii. Template for Request for More Info

Create text template to confirm welcome appointments with new patients, and include name of health coach and their phone number.

  1. Repeat Create New Template steps
  2. In Template name enter CCM/RPM Info
  1. Copy the text below (highlight and ctrl C)

  1. Go to Template text and paste
  1. Add your name at the bottom of the message
  2. Click Save
  1. Optional: Repeat steps 1-6 for
    1. CCM ONLY: Use template below

C. Send a Text

  1. Tap the Text icon in the bottom toolbar.
  1. Tap the New text icon
  1. Click field under "to" and type names or phone numbers
  1. If you want to send an original text message  go to Send Text Message field and type message. If you want to use a template, go to Template step D.
  2. Click Next

6. Review text and click send icon

D. Use Text Template

  1. Click Use Template Icon

2. Search or click on template that you would like to use

3. Click Apply

  1. Add patient's name, appointment date and time, and anything else.
  2. Click Next

6. Review and click Send icon
