Check and Respond to Messages from Tong as an Enrollment Specialist

1. Login to Elation

  1. Go to VH Client Details
  2. Click EHR tab

3. Find the client  and scroll to right until you see For Enrollment Team only

4. Copy login username (ctrl C)

  1. Keep VH Client Details open and go to Elation
  2. Go to Email Address and click paste

7. Click Next

8. Go back to VH Client Details, click black box and copy (Ctrl C)

  1. Go to Elation, go to Password, and paste
  1. Click Sign in
  1. Click Send me the code
  1. Go to Gmail
  2. Verify new email from Elation Health received in Enrollment mail
    1. If there is no email, reload page
    2. If you do not have access to Enrollment mail, slack in tong-sbc-health-team channel and tag Enrollment team
  3. Click new email from Elation Health
  1. If there are multiple emails, scroll to the most recent one.
  2. Copy code (highlight and ctrl C)
  1. Go to Elation, go to Verification code, and paste (ctrl V)
  2. Click Verify

19. Stay Logged In to Elation

2. Check and Respond in Elation

  1. Go to Elation and see new message
  2. If you need to, click patient's name so that you may search up the patient's information
  1. Go to EHR Client Templates
  2. Find relevant message and copy
  1. Go to Elation and go to Quick Reply
  2. Paste message (ctrl V)
  3. Add initials and adjust message as needed
  4. Click Send

3. Check Gmail

  1. Go to Gmail
  2. Check inbox for messages to the Enrollment Team or any forwarded from team regarding Dr. Tong
  3. If there is an email, click email
  1. Verify if the patient is CC'ed in the email
    1. If yes, go to step 5
    2. If no, go to C. Respond to Doctor's Email in Elation
  2. Click Reply
  1. Go to From and make sure it is Enrollment Team
  2. Go to To and ensure patient's email is present
  3. Remove Doctor's email address by clicking X
  4. Click BCC

10. Go to BCC and add Enrollment Team

  1. Write message for patient
  2. Review Email and click Send
  3. Continue to Step 4 Respond to Doctor's Email in Elation

4. Respond to Doctor's Email in Elation

  1. Go to EHR Client Templates
  2. Find relevant message and copy
  1. Go to Elation
  2. Check if doctor sent a message regarding this patient in Elation
    1. If doctor sent a message regarding this patient in Elation, Go to Quick Reply and paste message (ctrl V)
    2. If there is no message in Elation regarding this patient, go to Step 7
  3. Add initials and adjust message as needed
  4. Click Send

7. Go to Find patient chart... and type patient's name

8. Click Patient's Name

9. Click Msg

  1. Go to To and add Doctor's Name
  2. Go to Msg and add message
  3. Add your initials to message
  4. Click Send
